This Pi Beta Phi Privacy Policy (“Policy”) describes how Pi Beta Phi, Pi Beta Phi Fraternity, Fraternity Housing Corporation, and Pi Beta Phi Foundation (“Pi Beta Phi,” “we,” “us” or “our”) collects, uses and discloses personal information of customers through our websites and online services, including pibetaphi.org, and other Pi Beta Phi owned or operated websites and online services that link to this policy (collectively, the “Sites”), through our programs. Pi Beta Phi Fraternity, Pi Beta Phi Fraternity Housing Corporation, and Pi Beta Phi Foundation are separately incorporated legal entities with an overlapping mission. Each entity has separately approved and independently adopted this Privacy Policy for its respective entity in accordance with its governing documents, policies and procedures. This Policy is being presented as one policy for the convenience of stakeholders.

By accessing the Sites, you agree to be bound by the terms and conditions of this Privacy Policy and the Pi Beta Phi Terms and Conditions, which are available on the Sites (as amended from time to time).

WHAT DATA DOES PI BETA PHI COLLECT?

We collect both personal and non-personal data. What we collect depends on what you do when you use our Sites and on what personal information you elect to give us.

PERSONAL INFORMATION

Personal information is information that you provide to us that is personally identifiable such as your full name, maiden name, address, email address, phone number, credit card number, member number, date of birth, chapter of initiation, initiation year, Pi Beta Phi involvement, education, career, family relationships and information, donation history and/or other information that is not otherwise publicly available that you choose to provide. We do NOT collect Social Security Numbers. To the extent we associate Non-personal Information with Personal Information, we treat the combination as Personal Information.

Please note that for any credit card information provided on the Sites, we utilize a trusted third-party PCI-DSS compliant payment processor to process all of your transactions and it collects and maintains the necessary Personal Information needed to necessitate such transactions. Credit card information is not sold.

NON-PERSONAL INFORMATION

Non-personal Information is any information that does not identify you individually or does not permit a direct association with an individual. Non-personal Information may include information derived from Personal Information by de-identifying it to remove unique identifiers and/or combine it with information about other users to form aggregated data.

HOW DOES PI BETA PHI COLLECT THE DATA?

INFORMATION YOU PROVIDE

In the course of visiting and using this Site, applying for or participating in sorority recruitment, chapter membership, or alumnae membership, via social media, or other interactions with Pi Beta Phi, vendors, or third parties you may voluntarily provide personal information to us directly or indirectly through third parties who share information with us, such as registering to use certain features and services, paying your dues, contacting us or submitting inquiries to us. When you provide us with information about yourself using contact forms or email addresses on these Sites, we collect information which allows us to identify you.

INFORMATION OBSERVED OR COLLECTED THROUGH TECHNOLOGY

We and our third-party service providers may automatically collect usage information when you visit our Sites. This information may include information about your Internet service provider, your operating system, browser type, domain name, Internet protocol (IP) address, your access times, the website that referred you to us, the web pages you request, and the date and time of those requests. Our collection of website use information may involve the use of cookies, Web beacons and Google Analytics. In addition, our Sites uses targeting or advertising cookies to see which areas and features are popular and to count visits to our Sites. These cookies are used by third parties such as social networks and advertisers to provide services in return for recognizing that you have visited our Sites. They remember that you have visited our Sites and this information is shared with third party organizations such as advertisers. Web beacons and pixels help Pi Beta Phi determine whether a page on this Site has been viewed and, if so, how many times. Pi Beta Phi may also use web beacons and pixels in email messages to determine what the recipient has done with the message. HOW DOES PI BETA PHI USE YOUR INFORMATION?

Pi Beta Phi may use information about you for purposes described in this Policy or disclosed to you on our Sites or with our Services. For example, we may use information about you to:

  • Communicate with you about your services, accounts and program participation, a contest or sweepstakes you have entered, and your requests for information.
  • Communicate with you about magazines, products, services, promotional events, special officers, newsletter announcements or other information that may be of interest to you from Pi Beta Phi and/or our service providers and vendors.
  • Process and maintain your membership.
  • Process donations and dues payments.
  • Solicit donations for Pi Beta Phi.
  • Perform obligations pursuant to any agreements entered into with you.
  • Provide related goods and services.
  • Promote and foster a sense of community.
  • Improve the Site and related services.Carry out any legal or contractual obligations.
  • Respond to your customer service inquiries, post your comments or statements on any blog or other online forum maintained on our Sites, or take other actions in response to your inquiries or other Site activities.

Donor information that is collected is not sold or traded. Pi Beta Phi Foundation shares your Personal Information with Pi Beta Phi Fraternity for direct marketing and other purposes related to the Pi Beta Phi Fraternity mission.

Pi Beta Phi shares personal information between its affiliate entities and processes that personal information in order to carry out tasks related to our essential business activities. This may include the sharing of your information with chapters, alumna associations, house corporations and similar affiliate entities when deemed appropriate. This process and data sharing provide members with essential membership benefits and opportunities, including access to Pi Beta Phi scholarships and financial aid, and access to Pi Beta Phi housing opportunities. Each affiliated entity is separately responsible for its use of member data. Pi Beta Phi is not responsible for the misuse of member data collected and processed by entities not under its control, including, for example, Pi Beta Phi chapters, local housing corporations, and alumna associations.

We may also use your Personal Information when you have consented for a specific purpose.

For users in the European Union, Pi Beta Phi is the controller of your personal information and we only use, process, or share your Personal Information upon the lawful bases of: contract (such as entering into a membership agreement and collecting related payments), legitimate interests of Pi Beta Phi or third parties (such as providing and improving services and sending marketing and promotional materials), consent (such as making your Personal Information available to other Pi Beta Phi members), or legal obligation (such as when required to respond to or take legal action in regard to the interests and protection of Pi Beta Phi, affiliates, or other members).

LOG FILES

Like most standard website servers, we use log files. These log files may include internet protocol (IP) addresses, browser type, internet service provider (ISP), referring/exit pages, platform type, date/time stamp, and number of clicks to analyze trends, administer the site, track a user’s movement in the aggregate and gather broad demographic information for aggregate use. IP addresses may be tied to personal identifiable information to enable our web-based services offered on the Sites.

DEVICE IDENTIFIERS

When you use a mobile device like a tablet or phone to access our Service, we may access, collect, monitor, store on your device, and/or remotely store one or more “device identifiers.” Device identifiers are small data files or similar data structures stored on or associated with your mobile device, which uniquely identify your mobile device. A device identifier may be data stored in connection with the device hardware, data stored in connection with the device’s operating system or other software, or data sent to the device by Instagram.

A device identifier may deliver information to us or to a third-party partner about how you browse and use the Service and may help us or others provide reports or personalized content and ads. Some features of the Service may not function properly if use or availability of device identifiers is impaired or disabled.

WHAT ARE MY OPTIONS TO CONTROL THE USE OF MY PERSONAL INFORMATION?

You have certain rights with respect to your Personal Information. As described below, you have the right to be informed about the processing of your Personal Information, you may access your Personal Information, object to processing of your Personal Information, restrict processing of, rectify, request erasure of, and/or export your Personal Information. OPPORTUNITY TO “OPT OUT”

We reserve the right to send you certain communications relating to Pi Beta Phi, such as administrative messages, marketing messages and newsletters. Users who no longer wish to receive our communications may opt out by removing themselves from the list of subscribers through the unsubscribe process. If you wish to stop receiving emails from us, please follow the unsubscribe link at the bottom of the email or contact us at messages@pibetaphi.org. Please understand that if you choose to opt out of communications, you may not receive essential communications from Pi Beta Phi.

ACCESSING / CORRECTING / UPDATING / DELETING / DEACTIVATING PERSONAL INFORMATION

You are entitled to know what of your Personal Information is being processed and with whom it is shared. You can access your Personal Information at any time through the Pi Beta Phi member only pages of the Site. You have control over your member profile and privacy settings.

If a user’s personally identifiable information is incorrect, incomplete or changes (such as ZIP code, phone, email or postal address), if a user would like to restrict what Personal Information is available to other members in the Member Search tool, if a user would like to request deletion of certain Personal Information, or if a user no longer desires our services, we provide a way to modify such information. This can usually be accomplished by logging into our members’ only area and making updates, or by contacting emailing messages@pibetaphi.org. You may also request a temporary suspension to processing of your Personal Information and object to further processing of Personal Information inconsistent with the primary purpose for which it was collected.

HOW IS PERSONAL INFORMATION SECURED?

Pi Beta Phi takes reasonable steps to maintain appropriate physical, technical and administrative security to help prevent loss, misuse, unauthorized access, disclosure or modification of personal information.

DATA SECURITY

While Pi Beta Phi has taken reasonable precaution to safeguard your personal information, Pi Beta phi cannot guarantee complete security. You acknowledge that Pi Beta Phi shall have no liability whatsoever for damages or losses incurred by you as a result of disclosure of your personal information to other users of this site. You also acknowledge that Pi Beta Phi shall not be liable for any security breach that results from causes or events that are beyond Pi Beta Phi’s control (such as acts of God, hacking, terrorism, power outages, defects in third party security products and services, your own acts or omissions and other similar events beyond the control of Pi Beta Phi).

You are responsible for maintaining the confidentiality of your username and password associated with use and access to certain features of this Site. You are prohibited from sharing your username or password with others. Any unauthorized use of the Site may result in criminal and/or civil prosecution.

OUR THIRD-PARTY RELATIONSHIPS

We have established relationships with third-party vendors to best serve our members and customers. We may also establish additional third-party relationships in the future.

From time to time, Pi Beta Phi may share your Personal Information with affiliates, service providers, business partners, licensed vendors, and other third parties who may perform functions on behalf of Pi Beta Phi to assist in providing marketing, sending emails, order processing, fulfillment and shipping, soliciting donations, creating or coordinating events, managing data or security, maintenance on our Site or other databases, and providing customer service and additional services. These third parties will only have access to information to the extent necessary and will be required to not use any personal information for any purpose other than providing such services.

Additionally, from time to time, we share non-personal, non-individual statistical information with our marketing partners, advertisers or other third parties for research purposes. That is, we will not tell our marketing partners that you purchased a specific product, but we may tell them how many customers purchased that product.

We may disclose your Personal Information for any purpose we disclose when we provide the information, with your consent, and as permitted by law.

This Policy does not apply to the practices of companies that Pi Beta Phi does not own or control, or to people that Pi Beta Phi does not employ or manage. We strongly encourage our users to be aware when they leave our site and to read the privacy statements of each and every website that collects personally identifiable information. This privacy statement applies solely to information collected by these Sites.

Outside European Economic Area (“EEA”): Pi Beta Phi is based in the United States. By sharing your Personal Information with Pi Beta Phi, you are transmitting your Personal Information outside the European Economic Area. When Pi Beta Phi shares your Personal Information with the persons described above, those persons may also be located outside of the European Economic Area.

SSL AND DATA ENCRYPTION

We use Secure Socket Layer (SSL) encryption technology to protect your personal information. You are required to sign on to the Members-Only website. Existing account holders are prompted for their ID (your email address) and password. This password is for your protection. If you don’t have your password, there is a link that reads “Lost your password?” Click on this for instructions on how to get your password.

Sensitive information is encrypted and is protected with SSL. While on a secure page, the lock icon on the bottom of Web browsers such as Netscape Navigator and Microsoft Internet Explorer becomes locked, as opposed to un-locked, or open, when users are just ‘surfing’.

OTHER INFORMATION

CALIFORNIA RESIDENTS

California Civil Code Section § 1798.83 permits California residents to request certain information regarding the categories of information collected and the disclosure of personal information to third parties for third party direct marketing purposes. Pi Beta Phi Foundation shares your Personal Information with Pi Beta Phi Fraternity for direct marketing and other purposes related to the Fraternity mission. To opt out of having your Personal Information shared or to make such a request of Pi Beta Phi, please contact us at messages@pibetaphi.org.

NEVADA RESIDENTS

Under Nevada law, Nevada residents may submit a request directing us not to make certain disclosures of Personal Information we maintain about them. If you are a Nevada resident and wish to exercise this right, you may contact us by email at messages@pibeatphi.org.

CHILDREN’S PRIVACY

This Site is not directed to children. We do not knowingly collect Personal Information from children under the age of 16 in the European Economic Area or any child under the age of 13 on our Site. In accordance with the Children’s Online Privacy Protection Ace (COPPA), we do not collect or store any personal information, even in aggregate, about children under the age of 13. If we discover we have received any information from a child under the age of 16 in the European Economic Area or under the age of 13 in violation of this policy, we will delete that information immediately. If you believe that Pi Beta Phi has any information from or about anyone under the age of 16 in the European Economic Area or under the age of 13, please contact us at the contact information provided below. If you are under the age of 16 in the European Economic Area or under the age of 13, do not use this Site or provide information on this Site.

RETENTION

Pi Beta Phi keeps your Personal Information for as long as needed or permitted in light of the purposes for which it was obtained.

FOR EUROPEAN ECONOMIC AREA RESIDENTS: YOUR RIGHTS

If you are a resident of the EEA, Pi Beta Phi will only send you marketing emails in compliance with applicable law. After a member account is created, you have the choice to withdraw consent, opt-out and/or unsubscribe from certain email correspondence that Pi Beta Phi, affiliates, vendors, and third parties may send you. These choices may be made by clicking on any “unsubscribe” features in the correspondence itself, by visiting the Site and modifying your user preferences as to privacy and communications, or by contacting us at the contact information set forth below.

Additionally, if you reside in the European Economic Area, the following rights apply to you:

(a) Right to Access Your Personal Data: You have a right to access the personal data that we hold on to and the following information regarding our use of it: (i) purpose of the use, (ii) categories of personal information used, and (iii) to whom we have disclosed your personal information. (b) Correct and Update Your Personal Data: You also have a right to require that any inaccurate personal data that we hold on to is corrected. You also have the right to request Pi Beta Phi to complete information you believe is incomplete. If you find that any of your personal data is incorrect or incomplete, please contact us.

(c) Right to Be Forgotten/Request that We Delete Your Personal Data: You may request that Pi Beta Phi erase your personal information when Pi Beta Phi no longer needs such data. For implementation on your rights including the “right to be forgotten,” please contact us.

(d) Withdraw Consent: If Pi Beta Phi’s ability to use your personal information depends on consent you have given, you may withdraw such consent.

(e) Restriction: You may request that Pi Beta Phi restrict (or suspend) use of your personal information.

(f) Object: You may object to Pi Beta Phi’s use of your personal information to perform services you have not requested.

(g) Copies and Portability: You may request copies of your personal information that Pi Beta Phi possesses in a structured, commonly used, and machine readable format, and you may request that this be transmitted to another controller.
